NSP Administrative Associate: Job Description

About Us:
The New Synagogue Project (“NSP”) is a membership synagogue located in Petworth, D.C. Our mission is to build a spiritually vibrant, radically inclusive Jewish community that reflects our vision for a world of justice, equity, and liberation. Our community is built by and for religious, secular, and atheist Jews, families with kids, partnered and single people, queer and trans people, disabled and chronically ill people, D/deaf and hard of hearing folks, interfaith families, Jews of color and white Jews, and anyone interested in exploring and experiencing Jewish life. As the Administrative Associate, you will work closely with the Synagogue Director as well as the Rabbi and several lay leaders to drive the administrative functions of NSP, to ensure NSP continues to offer high quality programs with smooth operations to support our 400+ members.

- You have a knack for detail, data, and logistics, and being detail-oriented is one of your strongest qualities.
- You thrive working independently and are able to carry projects forward with minimal supervision.
- You’re eager to take initiative.
- You’re comfortable learning and teaching yourself new technology platforms, such as Breeze, our database tool.
- You’re familiar with G Suite (GoogleDrive, Gmail, Google Meet, etc.) and have experience with spreadsheets (Excel/Google Sheets), Microsoft Word, including mail merge, and Zoom. It’s a plus if you also have familiarity with a database/CRM tool, Facebook and Instagram, a website editor such as WordPress, and an email communications platform such as MailChimp.
- You have excellent communication skills and are able to communicate clearly and transparently with both individuals and groups through email and over the phone.
- You go out of your way to foster connections between people and genuinely want to help people solve problems and work collaboratively.
- You have experience, either in paid or volunteer positions, with administration, logistics, planning, and event coordination.
- You are familiar with Jewish religious life and culture – or interested in learning.
About the Role:
This is a part-time role requiring 30 hours/week, reporting to the Synagogue Director. The position is located in Washington, D.C. It is currently a remote position with some in person responsibilities. Some in-person presence at community events is required. The position will require weekend and evening hours such as special events and Jewish holiday programming. This role requires the use of a cell phone and laptop, as well as access to the internet and a driver’s license. Position includes a technology stipend of $20/month. If needed, NSP can provide a laptop. NSP mandates COVID vaccination for all staff, as well as any attendees of in person events.
The primary areas of focus are:
- Supporting daily operations and logistics, including:
- New membership processing and membership renewals;
- Checking the PO Box (located in Park View, D.C.) and processing mail and checks;
- Coordinating ASL interpretation, captioning, and other access needs for Synagogue programming;
- Contractor/vendor onboarding and invoice processing;
- Fundraising logistics support and keeping membership dues and donation information current, including managing the annual pledge renewal process; and
- Ordering, organizing, and managing supplies and space coordination.
- Supporting event and program administration, including:
- Working with leaders to send event communications on MailChimp;
- Working with leaders to develop and administer event registration;
- Tracking event participation;
- Coordinating food and supplies procurement;
- Working with leaders and volunteers to ensure set up and clean up for in-person events
- Administrative and logistical coordination for weekly Shabbat events, including ordering and managing supplies, ordering food, recruiting, confirming, and orienting volunteers and meal sponsors, and reserving space
- Coordination with venues on scheduling, space improvements, and storage access
- Organization and management of supplies and equipment
- Managing NSP’s technology platforms, including:
- Keeping our Breeze membership database up-to-date and supporting volunteers’ use of Breeze; and
- Managing NSP’s G Suite programs, including NSP’s Google Calendar and events listings.
- Coordinating communications, including:
- Responding to member inquiries via email;
- Finalizing and coordinating weekly events communications;
- Keeping all email lists up-to-date;
- Assisting in the administration of educational programming, justice programming, and special events, including:
- Administrative and logistical support for adult b’nai mitzvah class, conversation program, and Jewish education programs; and
- Administrative and logistical support for volunteers coordinating special events, such as Purim, Hanukkah, and High Holidays.
- Administrative support for Giving Circle, Justice Team teach-ins, and other justice programs.
- Administrative support for Kollel, our kids education program, and other kids events.
- Assisting the Synagogue Director with special projects, including:
- Providing creative input to continually improve NSP’s systems and policies as we continue to grow.
Pay and Benefits:
- The position pays $25/hr and is a part-time role requiring approximately 30 hours/week.
- Technology stipend of $20/month.
- Paid sick time
